6.Recordkeeping Requirements
In accordance with the FBI's disposition authority tor "Awards' (General Records Schedule
[GRS] 2.2 Item 030,
the FBI Awards Program must retain all records

related to general award records, mcluding those relating to depariment-level awards and
excluding Presidential Rank Awards, for a period of two years after an award is approved or
denied, whichever is later, but longer retention is authorized if required for business use. Case
files include all of the following documentation: recommendations, approved nominations,
correspondences, reports, and related handbooks pertaining to agency-sponsored cash and
noncash awards, such as incentive awards, OT'S awards,EPAs, and TOAs.
FBIHQ division and FO award POCs must retain all of'their FBIHQ divisions' or FOs' award
nominations for a period of two years after approval or denial
